Often one of the busiest members of our team, our project managers ensure all projects run smoothly and get delivered on time, within budget and, importantly, are as stress free as possible. After working on some of projects especially on web based application where I realized it could take long time even back on the starting stage if suddenly stakeholder came up with new idea when developer has done more than half of development part. Here the frustration starts to change something which actually had to put on during start of the project. Here are some process to successful project management. Of course there’s a lot more to it than just 5 points, but these should provide a good overview of the benefits good project management can provide.

1. Project Initiation (Needs Assessment) The first step is making sure that you have written down all needs related to project and communicated clearly to users, project team and the stake holder like

  • Needs of final users
  • Technical constraints
  • Financial constraints
  • Human resources
  • Technical support
  • Training
  • Standardization
  • Sustainability
  • Specific constraints

Any changes that are needed can prove costly and time consuming, especially as the project progresses. So, if all requirements and expectations are fully understood before any work commences, the project will get off on the right foot and the chance of problems developing down the line will be reduced.

2. Planning To ensure all work is completed on time and within budget, it’s important to have a clear plan of action, detailing who’s responsible for what, what work is required, when work needs to be delivered, plus any other useful information the project team may need. It’s much easier for people to get on with their work, when they have a clear idea of what’s expected of them.

3. Execution When you are ready to execute clear communication is important for any job, but especially so for project management. Effective communication results in every team member knowing their role and what’s expected of them – helping reduce tension and stress levels. Additionally, it’s important to communicate effectively with clients, keeping them in the loop with project progress and communicating their correspondence with relevant team members.

4. Monitoring and controlling No matter how well a project is managed, how clear the brief was or simple the project, there’s always the possibility of change. The project manager’s role is, at the beginning of the project, to anticipate any problems or potential areas for change and create plans to deal with them. During the project, their role is to use the skills and techniques mentioned in the previous four points to manage the change effectively.

5. Controlling and Evaluation Upon project completion, it’s important for the project manager to review performance against the initial aims of the project. What went well? What were the problem areas of the project? Was the project delivered on time and in budget? If not, what were the sticking points? Through this analyse important insights can be gained into how the process can be improved for the next project.
